Introduction
Wevance, Inc. ("Wevance," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Wevance platform, including our website at wevance.ai, applications, APis, and all related services (collectively, the "Service").
By accessing or using the Service, you acknowledge that you have read, understood, and agree to this Privacy Policy. If you do not agree, please do not access or use the Service.s.
Information We Collect
2.1 Information You Provide
(a) Account Information When you create an Account, we collect your name, email address, company name, job title, and password.
(b) Payment Information If you subscribe to a paid plan, we collect billing information such as credit card details and billing address. Payment processing is handled by third-party payment processors; we do not store full credit card numbers on our servers.
(c) Profile Information You may optionally provide additional profile information such as a profile photo, department, and role.
(d) AI Assistant Interactions When you use the Wevance AI Assistant, we collect the prompts, queries, and instructions you submit ("AI Inputs"). We store AI Inputs to provide responses, improve Service quality, enhance our AI models, and develop new features. AI Inputs may be reviewed by authorized Wevance personnel for quality assurance and Service improvement purposes. AI Inputs are not shared with third parties for their independent use.
(e) Communications We collect information you provide when you contact our support team, respond to surveys, or communicate with us through any channel.
2.2 Information from Third-Party Integrations
When you connect Third-Party Integrations to the Service, we collect data from those platforms as authorized by you. This may include:
ï Slack: Messages, channels, threads, reactions, and user activity relevant to your work tasks
ï GitHub: Commits, pull requests, code reviews, issues, and repository activity
ï Gmail: Email metadata (subject lines, senders, recipients, timestamps) and email content related to work activities
ï Jira/ Linear: Tickets, tasks, comments, status updates, and project data
ï Notion: Pages, databases, and content related to work documentation
ï Other Platforms: Data from additional integrations as described at the time of connection
Important: We only access data that you explicitly authorize through OAuth permissions. You maintain full control over which platforms are connected and can disconnect them at any time.
2.3 Information Collected Automatically
(a) Usage Data We collect information about how you interact with the Service, including features used, pages visited, actions taken, Task Cards created, reports generated, and search queries.
(b) Device and Browser Information We collect device type, operating system, browser type and version, screen resolution, and language preferences.
(c) Log Data Our servers automatically record information including IP address, access times, referring URLs, and pages viewed.
(d) Cookies and Similar Technologies We use cookies, web beacons, and similar tracking technologies. See Section 8 (Cookies) for details.
How We Use Your Information
We use the information we collect for the following purposes:

To create and manage your Account
To process Customer Data into structured Task Cards
To identify relationships between work activities across connected platforms
To generate AI-powered reports, summaries, documentation, and other outputs
To enable knowledge search across your team's work history
To facilitate team collaboration and knowledge handover features
To provide the AI Assistant functionality
3.2 Service Improvement
To analyze usage patterns and improve Service features
To analyze AI Inputs (prompts and queries submitted to the AI Assistant) to improve response quality, accuracy, and relevance
To analyze anonymized usage patterns of the AI Assistant (e.g., types of queries) to improve response, quality, accuracy, and relevance — only for users who have provided explicit consent
To develop new features and applications
To conduct research and analysis on Service performance
Note on AI Inputs: We retain AI Inputs for service improvement purposes for a maximum of 24 months, after which they are either deleted or irreversibly anonymized. You may opt out of having your AI Inputs used for Service improvement by contacting privacy @wevance.ai. Opting out will not affect your ability to use the AI Assistant. Enterprise customers may negotiate data processing terms that exclude AI Input retention for improvement purposes.
3.3 Communication
To send you Service-related notifications (e.g., Task Card summaries, report completions)
To respond to your inquiries and support requests
To send product updates, newsletters, and marketing communications (with your consent, where required)
3.4 Security and Compliance
To detect, prevent, and address security threats and fraudulent activity
To monitor and enforce compliance with our Terms of Service

How We Share Your Information
4.1 Within Your Organization
Task Cards and reports you choose to share with your team ("Shared with Team") are visible to other Authorized Users within your organization's Account. Private Task Cards remain accessible only to you.
4.2 Service Providers
We share information with third-party service providers who assist us in operating the Service, including:
ï Cloud hosting and infrastructure providers
ï Payment processors
ï Analytics providers
ï Customer support tools
ï Email delivery services
All service providers are contractually obligated to protect your information and use it only for the purposes we specify.
4.3 AI Processing
We use third-party AI providers to power certain features of the Service. Customer Data sent to AI providers is processed according to our data processing agreements, which include strict confidentiality and data protection obligations. We do not permit Al providers to use your Customer Data to train their general-purpose models.
4.4 Legal Requirements
We may disclose your information if required to do so by law or in response to valid legal processes, including subpoenas, court orders, or government requests.
4.5 Business Transfers
In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such transfer and any changes to this Privacy Policy.
4.6 With Your Consent
We may share your information with third parties when you have given us explicit consent to do so.
We do not sell your personal information to third parties.

Data Retention
5.1 Active Accounts
We retain your Customer Data and Account information for as long as your Account is active and as necessary to provide the Service.
5.2 Post-Termination
Upon termination of your subscription, we retain your Customer Data for 30 days to allow for export. After this period, we will delete your Customer Data from our active systems within 90 days, except as described below.
5.3 Backup and Archives
Customer Data may persist in encrypted backups for up to an additional 90 days after deletion from active systems.
5.4 Legal Retention
We may retain certain information as required by applicable law, for legitimate business purposes (such as fraud prevention), or to resolve disputes.
5.5 Anonymized Data
Anonymized, aggregated data that cannot be used to identify you may be retained indefinitely for analytics and Service improvement purposes.
Data Security
6.1 Security Measures
We implement industry-standard security measures to protect your information, including:
Encryption: Data is encrypted in transit (TLS 1.2+) and at rest (AES-256)
Access Controls: Role-based access controls and multi-factor authentication for internal systems

6.2 SOC 2 Compliance
Wevance is committed to achieving and maintaining SOC 2 Type II compliance. Current compliance status is available upon request.
6.3 Incident Response
In the event of a data breach affecting your personal information, we will notify you and applicable authorities in accordance with applicable law, typically within 72 hours of becoming aware of the breach.
6.4 No Guarantee
While we strive to protect your information, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee absolute security.
Your Rights and Choices
7.1 Account Controls
You can update, correct, or delete your Account information at any time through your Account settings.
7.2 Integration Controls
You control which Third-Party Integrations are connected to the Service. You can disconnect any integration at any time through your Account settings. Disconnecting an integration will stop future data collection from that platform.
7.3 Data Sharing Controls
You control which Task Cards and data are shared with your team and which remain private. Use the sharing settings on individual Task Cards and reports to manage visibility.
7.4 Communication Preferences
You can manage your communication preferences, including opting out of marketing communications, through your Account settings or by using the unsubscribe link in marketing emails. You cannot opt out of essential Service-related communications.
7.5 Data Export
You can export your Customer Data at any time during your active subscription through the Service's export functionality or by contacting support@wevance.ai.
7.6 Account Deletion
You can request deletion of your Account and associated data by contacting privacy @wevance.ai. We will process your request within 30 days, subject to any legal retention obligations.
Cookies and Tracking Technologies
8.1 Types of Cookies We Use
(a) Essential Cookies Required for the Service to function properly, including authentication and session management. These cannot be disabled.
(b) Analytics Cookies Help us understand how you use the Service and identify areas for improvement. These can be disabled through your browser settings.
(c) Preference Cookies Remember your settings and preferences to provide a personalized experience.
8.2 Third-Party Cookies
Some cookies are placed by third-party services we use, such as analytics providers. These third parties have their own privacy policies.
